Define the project first
“HVAC replacement” may mean an air conditioner, furnace, heat pump, or a combination. It may include controls, duct changes, electrical upgrades or none of those. Write down the actual project before comparing totals.
Use a comparison worksheet
| Field | What to record |
|---|---|
| Equipment | Model numbers, capacity, efficiency and included components |
| Installation | Duct, electrical, refrigerant-line and control work |
| Other charges | Permits, removal, disposal, access and restoration |
| Terms | Cash price, payment schedule, warranty and exclusions |
Keep allowances visible
If a provider cannot determine a condition until work begins, ask how additional work will be priced and authorized. An allowance is not a fixed included price. Compare the assumptions as well as the amount shown on the front page.
Repair references cannot price a new system
A national capacitor or diagnostic reference does not establish a replacement-system budget. We leave replacement price comparisons unverified until a suitable reviewed benchmark is available. A breakdown is still useful for spotting missing scope and preparing questions.
